Summary: The Executive Assistant is a pivotal member of LUP of Love, providing high-level administrative, operational, and strategic support to the Founder & Executive Director and the Vice President. This role ensures smooth day-to-day operations, fosters organizational excellence, and strengthens internal communication. The ideal candidate is highly organized, proactive, detail-oriented, and deeply committed to our mission of supporting individuals living with lupus through wellness, awareness, community, and love. This person serves as a trusted partner protecting time, managing priorities, and ensuring leaders can focus on moving the mission forward.

Essential Duties & Responsibilities

  • Provide comprehensive administrative support to the Founder/Executive Director and Vice President, including scheduling, calendar coordination, and meeting preparation.
  • Serve as the primary point of contact for internal and external communications on behalf of leadership, responding with professionalism, clarity, and compassion.
  • Manage email inboxes, prioritize messages, prepare correspondence, and ensure timely follow-up on tasks and requests.
  • Coordinate and organize meetings, retreats, travel arrangements, and special events.
  • Prepare documents, reports, presentations, and briefing materials for leadership.
  • Assist with planning and execution of organizational initiatives, fundraising efforts, campaigns, and community events.
  • Track deadlines, deliverables, and organizational priorities to ensure smooth workflow across departments.
  • Maintain confidential information with the highest level of discretion and integrity.
  • Help develop and maintain efficient systems for operations, recordkeeping, and internal communications.
  • Support donor relations, stakeholder communication, and board engagement activities when needed.
  • Collaborate closely with leadership to identify areas for improvement and streamline processes.

  • Strong understanding of LUP of Love’s mission, programs, and organizational culture.
  • Excellent verbal and written communication skills, including the ability to convey sensitivity and professionalism.
  • Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and shifting needs.
  • Ability to anticipate the needs of leadership, take initiative, and problem solve proactively.
  • Strong judgment, discretion, and emotional intelligence when handling confidential or sensitive information.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and project management tools
  • Skill in creating clear documents, presentations, reports, and standard operating procedures.
  • Ability to work both independently and collaboratively in a fast-paced, mission-driven environment.
  • Warm, welcoming, service-oriented approach when interacting with community members, partners, and stakeholders.
    Qualifications
  • 2–4 years of administrative, executive assistant, or operations experience (nonprofit
    experience is a plus but not required).
  • Experience coordinating calendars, managing scheduling, and supporting senior leaders.
  • Demonstrated ability to manage competing priorities with grace and efficiency.
  • Strong technical proficiency, including document creation, digital tools, and organizational
    systems.
  • Experience preparing presentations, reports, or written communication for leadership-level
    review.
  • Proven ability to maintain confidentiality and handle sensitive information with integrity.
  • Strong interpersonal skills and a high level of professionalism.
